Sign Up and Payment Procedures for Activities and Events

Avenbury Lakes has many wonderful events, clubs, parties, and classes to enjoy. It is important that the process of signing up and paying for these events go smoothly. To ensure that everyone has an opportunity to participate in these community events, the following rules are in effect:
1. New sign-up sheets will be placed in the Activity Book on the first of each month. The sign-up sheets are placed by date in the Activity book.
Find the activity sheet you are looking for in the indexed Activity Book.
2. Sign one name per line, couples are not to be listed on a single line.
3. Payment for an event is required at the time you sign-up. Your payment holds your reservation. There will be a cut-off date for receiving payment for each event. There will also be a cut-off date for refunds if you are unable to attend.
4. The committee will NOT call each resident when payment has not been received by the cut-off date. Your name will be deleted from the list.
5. When the maximum number of spaces have been filled, on the sign-up sheet for the event, the names are then entered on the waitlist. Do not pay if you are on the wait list unless you are called by a member of the committee notifying you that there is an opening.
6. Payments can be made by cash or check. Place cash in an envelope marked with your name and the event for which payment is being made. If paying by check place the name of the event on the memo line and place the check in the box on the desk. An envelope is not necessary for a check.
7. All checks are to be made payable to ALHOA.
8. A separate payment is required for each event. No post-dated checks will be accepted.
9. If an event calls for payment at the door, please do not place any fees in the box on the desk.


TRIPS
All-Day Trips
1. All-day trips require payment in full to hold your reservation.
2. Trip refunds can be made up to the deadline registration date.
3. When all seats have been reserved with full payment a “wait list” will be established for those interested in joining that trip. If reserved seats become available at the last minute, residents on the “wait list” will be contacted in the order they originally signed up.
Multi-Day Tours
1. Multi-day tours are customized and promoted by the Avenbury Lakes Travel Club for our residents.
2. These trips range generally from 4-15 days; include domestic and international travel; and consist of air, bus and self-drive destinations.
3. All deposits and balances are paid directly to the sponsoring tour company.
4. Deposit/final payment, cancellation and insurance procedures are established by the tour company and vary for each trip.
